WHAT LOVE MEANS IN EVENT MANAGEMENT

First of all I would like to say that if you never managed to create an event on your own, you never know how to. When you put everything together for a birthday party or for a wedding it is really hard but you mostly deal with people you know and can rely on them, but when you make a professional event you have to deal with people who just don’t know you, you don’t know them, so it is important to double check. Be ready for really huge amount of misunderstanding and suprizes. But it is ok, just care and you create a great event. I talk from my own experience. Every event and a project has a plan. I talk from my own experience. Every event and a project has a plan. There are two points every event has:

  • Creative part — it should be surprizing in a way, even if it is a boring or very important event on serious topic.
  • Organizational plan- the structure, the plan which should be written down, discussed and every person in the team should has his own field of responsibility. Every and definite. Never try to make two people responsible for one thing.

Let me explain about creative part. When you create an event, even if it is a meeting of nuclear power experts or doctors, they are real people, who spend their time for coming to this event and their experience should be helpful for their career, mood rising and they should feel they are interested and energized as they should talk about this event and it is better if they talk of it in the meaning of how great it was.

A lot of events feel like they take time of your life, not because your high expectations, but because the event creators just didn’t envolve their passion and time to think about any detail of a visitor’s time on this event. They have definite parts, such as » ok our visitor needs to eat, needs water closet, needs security and listen to the lecture» , but they forget about social activity which is highly important to keep the visitor busy and enternain him while he is not on the main part of the event (e.g. the lecture), some small details which will take the visitor’s attention and influence his experience on this event, make the visitor a little surprized and happy.

So, my idea is to remind an event organizers to put themselves into position of a visitor and think if the experience they offer is really good and time appreciating, because all these details effect the pr side later.

It is 100% clear for a person that the orgizinzers didn’t try much, if they didn’t. Believe me no event is perfect, but the efforts included are always felt and appreciated.

It just feels that not much time spent on creating an event and visitor doesn’t feel love. Love your visitor as yourself and think about his experience on the event.

Even visual details matter. Try to pile them reasonably and make accents for any eye to have something to catch. Be bold and weird in the most appropriate way to relax the visitor and catch his attention.
